What Contents Restoration Software Really Costs in 2026

9 min readAll posts
As published in July 2026, contents restoration software costs anywhere from $0 base with per-item fees (contents.team) to roughly $650/month flat (Encircle's top tier), with per-user plans around $35/user/month (Assured PackOut), quote-only enterprise pricing (Verisk, iCat's AI plan), and per-facility pricing at $299–$699/month with unlimited users (ItemStage).

Almost nobody in this category publishes a straight answer on cost. Most vendors hide pricing behind "book a demo," and the numbers that do exist are scattered across review sites. We (TetraCore) built ItemStage in cooperation with a working contents operation — Millers Restoration — so here is the pricing landscape as we understand it in July 2026, including our own numbers. Competitor figures come from public listings and review platforms; verify current pricing with each vendor before you buy.

The four pricing models (and why they matter more than the sticker price)

Every tool in contents restoration software uses one of four models, and the model determines how your bill behaves as you grow:

  • Flat monthly (Encircle): one price regardless of headcount. Predictable, but you pay the same in a slow month as in a CAT surge.
  • Per user (Assured PackOut): cheap for a three-person crew, then the bill climbs with every technician, temp, and seasonal hire you add.
  • Per item (contents.team): $0 to start, then cost scales directly with the volume you process — the busier you are, the more you pay.
  • Quote-only / suite-tied (Verisk ContentsTrack, CoreLogic ContentsManager, iCat enterprise): pricing depends on your Xactimate, DASH, or enterprise relationship. Opaque by design, and hard to compare.

ItemStage uses a fifth variant: per facility, unlimited users. You pay for the building, not the headcount, so adding crew during a storm season costs nothing extra. Full pricing is public: Operator $299/month, Facility $699/month, Multi-site custom.

2026 pricing comparison: every major vendor

All competitor figures below are as published or reported in July 2026 — confirm with each vendor, since several do not publish pricing on their own sites.

Product Pricing model Published / reported price Notes
ItemStage Per facility, unlimited users $299/mo (Operator), $699/mo (Facility), Multi-site custom Published openly; paid 30-day workflow pilot available
Encircle Flat monthly $270 / $455 / $650 per month (per Capterra) Not published on Encircle's own site; field-documentation leader
Assured PackOut Per user $35/user/month Runs on Salesforce; iPad-first
iCat Pay-as-you-go → enterprise Entry pay-as-you-go; AI enterprise plan not public Claims-valuation focus; in market since 2009
Verisk ContentsTrack / XactContents Quote-only Not published Xactimate-native; the insurer-side default
CoreLogic ContentsManager Suite add-on Priced as a DASH add-on; not published Only practical if you already run DASH
contents.team Per item $0 base + $0.80/item over 500 per seat Valuation-forensics focus; publishes honest comparisons

Worked math: what a 5-, 15-, and 30-person crew actually pays

Sticker prices mislead. Here is the monthly software bill at three crew sizes, using the July 2026 figures above (flat and per-facility tools cost the same at any headcount; per-item pricing depends on volume, not crew, so it is excluded here):

Crew size Assured PackOut ($35/user) Encircle (flat tier) ItemStage (per facility)
5 people $175/mo $270/mo (entry tier) $299/mo (Operator)
15 people $525/mo $455/mo (mid tier) $299–$699/mo
30 people $1,050/mo $650/mo (top tier) $699/mo (Facility)

The pattern: per-user pricing wins under about 8 people, then flips. At 15 users, Assured already costs more per month than ItemStage's entry tier. At 30, per-user pricing costs roughly $1,000/month — more than any flat or per-facility plan in the category. Per-item pricing (contents.team) follows a different curve entirely: nearly free for a low-volume shop, but on a high-volume contents operation the per-item fees compound with every job, so estimate it against your real monthly item counts before assuming "$0 base" means cheap.

The hidden costs no pricing page mentions

  • Per-user creep. Every temp hire, subcontractor, and new office coordinator becomes a line item. Storm season is exactly when per-user bills spike.
  • Platform dependency. Assured PackOut runs on Salesforce — great if you live in that ecosystem, but it means your contents tool inherits Salesforce administration and account structure.
  • Suite lock-in. ContentsTrack and ContentsManager make the most sense inside the Xactimate and DASH suites respectively. The software is only part of the spend; the suite relationship is the real contract.
  • Training time. Every hour a technician spends learning software is an hour not processing items. Tools with rigid or complex workflows carry an onboarding tax that never shows up on an invoice.
  • Volume-linked fees. Per-item models turn your best months into your most expensive months.

How to decide

Match the pricing model to how your operation actually grows. If your headcount is small and stable, per-user is fine. If you are measured on facility throughput — items in, items processed, items packed back per day — per-facility pricing with unlimited users removes the penalty for staffing up. For a feature-level comparison of the same vendors, see our honest packout software roundup, and if you are earlier in the process, start with what a pack-out involves and our free pack-out checklist. ItemStage's own numbers are on the pricing page — no demo required to see them.

Frequently asked questions

How much does contents restoration software cost?

As published in July 2026, contents restoration software ranges from roughly $270–$650 per month for flat-rate tools like Encircle, $35 per user per month for Assured PackOut, pay-as-you-go or quote-only pricing for iCat and Verisk ContentsTrack, and $299–$699 per facility per month with unlimited users for ItemStage. Always verify current pricing with each vendor.

Is Encircle worth it?

Encircle is widely regarded as the leader in full-loss field documentation, and for restoration companies whose core need is fast, adjuster-ready photo documentation across water, fire, and contents jobs, its flat monthly pricing (reported at $270–$650/month as of July 2026 — verify with vendor) can be worth it. If your bottleneck is facility throughput — items processed per day through cleaning, storage, and pack-back — a stage-gated workflow tool may return more per dollar.

What is the cheapest contents restoration software?

On paper, contents.team is the cheapest to start: $0 base with a reported $0.80 per item beyond 500 items per seat as of July 2026. Assured PackOut at $35/user/month is cheapest for very small crews. For crews of roughly 8 or more people, per-facility pricing with unlimited users (ItemStage starts at $299/month) usually becomes the lowest total cost. The cheapest option depends on your crew size and item volume, so run the math on both.
