Packout · Pack-Out Software

Packout software your floor team will actually use.

Packout software tracks every item from pack-out to pack-back — who touched it, where it sits, and what condition it arrived in. ItemStage does this with barcode intake, stage-gated photos and checklists, and one-click chain-of-custody export, from $299/mo per facility with unlimited users.

ItemStage is mobile-first pack-out software for restoration contents teams. Serialized intake at the loss site or in the warehouse, configurable processing stages, gated photo evidence, and a chain-of-custody record that assembles itself as the team works.

New to the terminology? Start with our plain-English guide to what a pack-out is — this page covers the software that runs one.

What is pack-out software?

Pack-out software is the system a restoration contents team uses to document, track, and prove the handling of a customer's belongings from the moment they leave the loss site until they are returned. At minimum it records what was taken, its condition on arrival, where it sits now, and who has handled it — with photographs attached to the item rather than scattered across crew phones. ItemStage approaches pack-out as a floor workflow, not a paperwork task: technicians register items by barcode or serial on their own phones, required photos and checklist answers gate every stage transition, and the chain-of-custody record assembles itself as the crew works. The approach is measurable. At Millers Restoration, the facility ItemStage was built inside, 10,059 items moved through this workflow between February 1 and July 9, 2026, with a 12-minute median from intake to completed processing and more than 118,000 photos captured.

Good pack-out software is fast on a phone, captures evidence without slowing the crew, and produces a record that survives an adjuster or audit review months later. Bad pack-out software is built for a desktop estimator and treated as a chore by the field team. ItemStage is built so the second category never happens: serialized intake takes under 30 seconds, required photos can't be skipped, and every item carries its full history — who, where, when, what — into one export.

The same record follows the item back out. At pack-back the crew scans the same barcode, and delivery condition lands on the same item history that started at the loss site — one continuous record from "we took custody" to "we returned it."

Two things make a pack-out record defensible: the photos and the custody trail. Our guides to photo documentation for restoration and chain-of-custody item tracking cover the standards adjusters expect, and the Millers Restoration case study publishes the full production data behind the numbers above. Weighing ItemStage against the incumbent? The ItemStage vs. Assured PackOut comparison is the honest place to start.

Pack-out is also just the first leg of the contents job. The contents inventory software page covers cataloging items for the claim, and the contents tracking software page covers following each item's location and custody through processing and pack-back.

FAQ

Common questions.

Is packout software the same as pack-out software?

Same thing, two spellings — the industry writes it both ways. Either way it means software that tracks contents from the loss-site pack-out through processing to pack-back with photo documentation and chain of custody.

How long does pack-out intake actually take per item?

Registration — serial, photos, location, assignee — takes under 30 seconds. At Millers Restoration, the median item completes the entire four-stage workflow, intake through final completion, in 12 minutes. That's a median, not an average: a handful of items sit for weeks awaiting sign-off, which is exactly why we don't quote averages.

Does it produce adjuster-ready reports?

Yes. The chain-of-custody export is a single PDF + image archive ready to send to adjusters or auditors.

What does packout software cost?

ItemStage is $299–699/month per facility with unlimited users. Assured PackOut runs $35/user/month (≈$700/mo for a 20-person crew); Encircle lists $270–650/mo flat via Capterra. Full math in the 2026 cost guide.
